Operations Manager

Patent Bots is a rapidly growing, self-funded, and profitable SaaS startup that provides patent legal tech to law firms and companies.


We are seeking an ambitious and detail-oriented Operations Manager to join our team.  We are a very small company so your role will encompass more than a typical operations role.  You will report directly to the company founder so creativity, independence, self-direction, and an entrepreneurial spirit are critical. 


As the Operations Manager, you will play a pivotal role in (1) guiding the continued growth of the company and (2) optimizing and organizing our daily business operations. Your responsibilities will include overseeing various operational functions to ensure efficiency, productivity. This role demands a hands-on approach, exceptional organizational skills, and adaptability to the dynamic needs of a startup environment.


We are a 100% remote team and all qualified, U.S.-based candidates will be considered.


Responsibilities and Duties

  • Business and Process Optimization

    • Work with our sales/success/marketing teams to understand their operations and improve strategy

    • Optimize the use of our tools for sales/support (Zendesk) and marketing (ActiveCampaign)

    • Maintain internal company documentation

  • Finance

    • Manage our customer subscriptions in Stripe

    • Manage accounts payable and receivable

    • Run payroll and maintain compliance with state and federal laws

    • Manage outside bookkeeper and review books on a monthly basis

  • Security 

    • Work with our fractional CISO to maintain our security controls

    • Work with our auditor to maintain our SOC2 compliance



  • Bachelor's degree in Business, Operations Management, or a related field.

  • Proven experience in operations management, preferably within the legal tech sector.

  • Strong analytical and problem-solving skills with a keen attention to detail.

  • Excellent communication and interpersonal skills.

  • Ability to thrive in a fast-paced, dynamic work environment.

  • Tech savvy with strong computer skills

  • Self-starter and problem solver

  • Located in United States

  • 5+ years of experience
